Whilst reading Zite, my favourite iPad magazine app, yesterday, I came across an article in the Manchester United section. As I started reading it, I realised that it had been translated into English using translation software. The result, whilst hilarious, goes to show that the only way to properly translate is to ask a human being to do it.

The following is the first few sentences of the article:

Man Utd is one of the massive four in British Top Group that located in Stansted. This football team is based on Outdated Trafford or often known as The Theatre OF Desire. Manchester United was Founded as Newton Heath LYR Football Team in 1878, the club transformed its title to Man Utd in 1902 and gone after Old Trafford in 1910.

Manchester United is the most successful soccer team in Uk sports, that having 19 Language Group titles, 11 FA Cups , 4 Category Mugs and also 2 Champion League Glasses in 1999 and 2008. Each year, most of the football team alter their hat and Manchester United among them. Manchester United shirt is still domination of red color for property jersey and glowing blue , black or whitened for absent shirt. The small remains white and black along with the objective keeper nonetheless use yellowish shade for house jacket.

So what should it say? Well this is my “best guess”…

Man Utd is one of the Big Four in the English Premier League, located in Stretford. This football team is based at Old Trafford, often known as The Theatre of Dreams. Manchester United was founded as Newton Heath LYR Football Team in 1878, the club changed its name to Man Utd in 1902 and moved to Old Trafford in 1910.

Manchester United is the most successful soccer team in UK sports, having 19 League Championship titles, 11 FA Cups, 4 League Cups and also 2 Champions League Trophies in 1999 and 2008. Each year, most football teams change their kit and Manchester United is among them. Manchester United shirt is still mainly red for the home jersey and glowing blue, black or white for away shirt. The shorts remains white and black and the goalkeeper’s shirt is a yellowish shade for home matches.

On Saturday I uploaded a file to my Dropbox from my Mac. The next morning, whilst out with Meyer (our dog), I wanted to review and edit said file so I opened the Dropbox app on my iPhone and tapped on the file to open it.

Dropbox opens files in read-only mode and as I wanted to edit the file, I tapped the “Open In” icon at the bottom right of the screen.

This displays a list of installed apps that can open/edit the file (this list differs depending upon the type of file selected). The app that I wanted to use, which I knew was installed on the iPhone, was not listed.

I checked the settings and preferences for both Dropbox and the app in question but there was nothing that I could configure that was related to my issue.

I mentioned it to Elaine and she checked her iPhone and iPad and asked how many apps I had listed. I had 10 apps listed in the Open In list, the same as she did.

After doing some digging around forums, I found the answer. The Open In list on both the iPad and iPhone is limited to displaying 10 apps. There is no logic as to which are displayed, but I suspect that it’s based on most recently installed. The answer that was suggested by others in the forums was to uninstall apps one at a time until the desired app appeared and then re-install the apps you had uninstalled.

However, I see two problems with this – one is that as you re-install apps they will be added back to the Open In menu and the app you really want on the menu will be “pushed off” and the other is that because apps have to run in their own sandbox, when you uninstall an app, any data that is stored “inside” the app will be deleted from the iDevice.

There was unfortunately, no solution to my problem. I had to wait until I returned home to edit my document on my Mac.

At work, one of the things our team gets asked quite often is if it is possible to “reverse engineer” a PDF file back into Word or PowerPoint. I’ve never been able to successfully get Acrobat Professional to do it but a recent thread on the company’s Yammer network, plus another request from a user, got me thinking.

On the company Intranet, there is a page where you can request approved software to be installed on your PC. I searched for “PDF” and found a list of several applications that will do the job. As I’m unable to install software at work, I downloaded the trial version of Investintech Able 2 Extract PDF Converter to a computer at home. I chose this one as somebody had recently asked me if I could show them how to use this particular program as they’d had it installed on their work PC.

The trial will only convert 3 pages but it did it very well. I converted 2 PDF’s. One was originally a Word document. I converted it back to Word. The resulting document retained the formatting, the tables – including the borders, and all the text was fully editable – and 100% accurate in conversion. The other PDF was originally a PowerPoint file so I converted that back to PowerPoint. Again it was 100% accurate with the text, brought in the images and colours. The only thing that was a bit dodgy was some effects on some text.

There are a couple of other company approved apps that will do the same thing but I’ve not tested them:

Nuance ScanSoft PDF Converter

Solid Documents Solid Converter PDF to Word Professional

From a personal point of view, PDF is designed to be an output format. You convert your original (Word, Powerpoint, etc) file to PDF to make it smaller and allow people who don’t have the application that the original file was created in, to open it (and as more and more people get Macs, iPhones, iPads and other “smart devices” the cross platform PDF format is going to become more important). Too often I find that the original document has been lost and that is the reason that we are asked to help convert it. Reverse-engineering a PDF is like converting a cake back to flour, eggs and sugar – you just wouldn’t do it!.

Wanting to go wireless at work, I successfully paired my Apple bluetooth keyboard with my Vista laptop. All was going well – I even coped without PgUp / PgDn – until I had to press ALT+CTRL+DEL after my PC locked itself as I’d been away for more than 15 mins. The Delete key on the Mac keyboard is the equivalent to Backspace on Windows. Fn+Delete (which on OSX replicates the delete function of Windows) did nothing. I had to resort to using the laptop keyboard.

Looks like I’m going to have to buy a Windows bluetooth keyboard!

Although my job title is Training Consultant, my role encompasses much more than that. I deliver traditional courses, 1:1 coaching, provide IT support and develop MS Office based solutions, so in an average week, I probably don’t train more than about 20 – 30 people. In one week not long ago I delivered training to over 350 people.

The company that I work for recently rolled out a major update to the email archiving system. This is to be followed by a PST migration project where everybody’s PST’s will automatically be migrated to the Vault. At this point we can all kiss goodbye to our PST’s.

Our team were asked to provide training to show users how the new version will revolutionise the way that they work with their email and how to prepare for the PST migration. These training sessions (or “events” as we call them) last for 1 hour and with so many people to train, it’s a case of “pack em in”, so my schedule was:

Wednesday – deliver 4 sessions with 25 people on each

Thursday – deliver 4 sessions with 40 people on each

Friday – deliver 2 sessions with 40 people on each and 2 sessions with 10 people on each

Even allowing for non-attendees, that is over 350 people trained in total. The 2 sessions on Friday afternoon were not so well-attended, simply because they were added at the last minute to cope with extra demand and therefore we had less time to advertise them.

I’m used to delivering training to large audiences (up to around 25 people), however, that is in a virtual environment. When it comes to face-to-face training, my experience is with 1:1 and small groups. However, large audiences are not something that phase me, in fact I got a great buzz from training such large groups and when it came to the smaller groups I actually felt an anticlimax.

Today I delivered two training sessions on Incident Management and Remedy, something that I deliver every couple of weeks. The courses are delivered virtually, using Webex and a normal telephone conferencing system. I’ve wanted to record myself “in action” for a while and a finally got round to doing so this morning.

My “mobile recording studio” consisted of 2 iPads, an iPhone 4 and a Blue Snowflake microphone. As you can see from the photo below, I connected the Blue Snowflake to iPad 1 and used Garageband to record the audio. I mounted iPad 2 on a Griffin A-Stand and used the front-facing camera to record myself delivering the training. The iPhone was perched on a shelf directly behind the laptop and I used the front-facing camera on that device to record myself from a different angle (You can see that I had the cameras enabled at the time I took the photo – which was taken with my iPhone 3G).

All worked well except for GarageBand, which stopped recording after about 10 minutes – I believe this is by design and not a fault. However, the iPad 2 microphone picked up the audio extremely well as you can hear if you watch the clip below (YouTube video):

The video was shot with the iPad in portrait which is why there are black bars on the left and the right.

When I delivered the second session, I decided not to use the iPad 1 and also to move the iPad 2 to my right (out of shot in the above photo) so that I could capture the presentation and demo of Remedy

Again, I used the front facing camera on the iPhone to record video of myself delivering the session. The iPad 2 stayed mounted on the stand and I used the rear camera, set to video, to capture laptop screen. The photo below is a still taken from the video:

However, what I didn’t realise is that there is a limit as to how much it can capture. I don’t know if this is a time-based limit or a size-based limit. At 49 mins and 50 seconds, the iPad stopped recording. I later checked the size of the file – it was 3.8GB. The message that appeared on screen said “video recording stopped. The maximum size for this video has been reached”. This issue only appears to affect the rear camera and not the front-facing one.

The company that I work for are trialling “Bring Your Own Computer”. The way it works is that the company gives each employee a set amount of money and in return we bring our own computer into the workplace. Employees can either purchase a new computer or if they already own a computer, they can simply use that.

They’re not the first company to implement such as scheme and from my research the jury is still out on whether it’s a good idea or not, but it’s supposed to be a win-win situation.

The benefit for the employer is reduced hardware and support costs and the benefit to the employee is that they can use whatever device they like (PC/Mac/Tablet) as long as it gets the work done. Although the device is configured with a virtual machine that contains work-related applications in a work-related environment, users can switch out of the virtual environment to use other apps and files without the need for a reboot.

Although I’m not part of the trial, I have been bringing my own devices into work for quite a long time and I’ve been doing it without receiving any additional compensation. I do so because I feel that it makes me more productive and helps me to get my work done faster and with fewer problems. Here’s just a few examples:

iPad

Thanks to my iPad, I have been able to “go paperless” at work. I can take notes in meetings, produce sketches and drawings for projects, plan projects and training courses, produce audio recordings of meetings and audio recordings of my training courses (with participants permission of course) and create and deliver presentations, spreadsheets and documents that are Word/Excel 2007 compatible.

The high storage capacity (I have the 64GB version) allows me to have over 400 eBooks, magazines, reference articles and training videos at my fingertips.

iPhone

In some respects, the iPhone is a smaller, more portable version of the iPad. I have a notes app which I use for storing short notes and reference information (for example the login details for our Webex account), I have all my work related passwords stored in the 1Password password manager and I have been known to make work-related phone calls and send work related SMS messages.

MacBook Pro

Apart from the fact that my MacBook Pro has twice as much RAM as my work-provided laptop, the fact that it runs OSX and not Vista is probably enough to justify lugging it to work! In all seriousness, the main benefit is that I’m not limited to work-approved software and if I really must run Windows software I can do it in a virtual machine.

MiFi

One of the major issues I face at work is Internet access. Some sites are “locked down” and can’t be accessed. One such site is YouTube and whilst the powers-that-be might think that people would spend their working days watching clips of sneezing pandas, the reality is that there is a great deal of useful, educational content on that site (such as my Office 2010 tutorials).

Another problem that we face at work is that the company standard browser is Internet Explorer 7 (it’s only in the last 12 months that we have upgraded from IE6!) which is now unsupported by many sites.

My Novatel 2352 MiFi is my personal mobile broadband device. The MiFi, which fits into the palm of your hand, is connected to the Virgin mobile broadband network. It provides about 4 hours of continuous battery life and enables me to download 3GB of data for £15 per month.

Up to five devices can be connected to it simultaneously which means that I can share my connection between my MacBook, iPad and iPhone and if the network connection in our office decides to fail, I could connect my work laptop to the MiFi and connect to the company network via VPN (just as if I was logging in from home).

Monitors

I recently purchased two 23-inch monitors which reside in my office and are connected to my work Vista laptop. I wrote a blog post about my reasons for doing this and the benefits it has brought.

Mouse

There are benefits to investing in a good quality mouse, whether it’s reducing the risk of RSI, or simply making work quicker and more efficient. That said, you’ll still find people using the cheapest mouse they can find.

A couple of years ago I bought 2 wireless Logitec MX Revolution mice. One of them lives at home and the other comes to work with me. Originally I only used it with the MacBook Pro, however, recently I’ve started to use it with the Vista laptop, although to get the best out of it, you need to install drivers and software, which I can’t do because our work computers are “locked down”.

However, even without being able to configure the MX Revolution’s 5 buttons, the mouse is very comfortable to use compared to the cheap and cheerful mouse that I was using, plus there’s one less wire trailing across my desk.

My Working Environment

I’ve put a photo of my current workplace desk layout/setup on my Flickr page.

I recently purchased two 23-inch monitors for work. Although my colleagues were impressed (and possibly envious), they also admitted that they wouldn’t have spent their own money on something that the company should provide.

However much I felt that my productivity would increase with two 23-inch 1920 x 1080 monitors, the company’s stance is that I should be able to do my job with the kit that they provide.

So it was either stick with a 15″ laptop and 17″ external monitor (max resolution 1024×768), spend time and effort putting together a business case that I had little chance of winning, or bite the bullet and buy my own.

To celebrate my purchase, I’ve taken an updated photo of my desk

A larger version of this image is available on my Flickr page

External 17″ monitor (belongs to work) connected 17″ MacBook Pro

Leaning on the monitor is my iPhone

In front of the monitor is the Novatel MiFi

17″ MacBook Pro with Apple Wireless Keyboard and Logitech wireless mouse

Two 23″ monitors side-by-side

The IBM Thinkpad T400 laptop

Wired keyboard and mouse

The T400 is docked in a docking station. The keyboard, mouse and LAN cable are connected to the docking station. One monitor is connected to the docking station via a standard VGA cable and the other monitor is connected to the docking station via a DVI cable.

Has my productivity improved? Most definitely! A lot of my work involves Excel and on a monitor that size I can see a great deal more columns and rows. I also build a lot of solutions with VBA in Word and Excel so I can have the spreadsheet/document displayed on one screen and the VBA Editor on the other.

It’s also great for running virtual training via Webex as I can have the chat panel and participants panel on one monitor whilst sharing the other monitor.

So would you invest in your own kit to have a better experience at work? After all, most of us spend more time in front of a computer at work than we do at home.

Let me know.

I have over 100 apps on my iPhone. Some of them are used regularly, some rarely and some hardly ever or not at all (time for a cull?). So what’s the best way to organise them?

I’ve organised the apps into “pages” or screens. Each page can hold up to 16 apps and I have 10 pages of apps, although, if you do the maths, you will realise that not all the pages are “full” (in fact only one of the pages contains 16 apps).

I’m not going to describe all 10 pages but to give you some idea, the first page contains some of my most regularly-used apps (including iPad, Messages, Phone, Mail, Echofon and Safari), the second page is for what I call Utilities and includes 1Password, Calculator, Clock and Settings, the third page is for Entertainment apps.

On my Pad, rather than organising the apps into multiple pages, I use Folders (this feature was introduced in iOS4 and allows you to group apps together, similar to the way that the Program Manager used to work in Windows 3.1). To be honest, for me, the jury’s still out on Folders which is why I haven’t implemented them on my iPhone.

Both the iPhone and the iPad screens contain a “Dock” – a row of icons at the bottom which remain visible, no matter which screen (or “Page”) is displayed.

The iPhone’s Dock can store up to 4 icons and at the moment, my Dock has the Camera, DropText, ToDo and iTalk. These aren’t necessarily the most frequently-used apps but as the icons are always accessible, it means that I can quickly and easily take a photo/shoot video and record audio. Making quick notes and adding to my to-do list are also tasks that I perform regularly, as things pop into my head.

What’s on your Dock and why?
